Why we collect information
We collect personal and health information so we can:
- Understand client needs
- Provide assessment, therapy and recommendations
- Communicate with clients, families and other professionals involved
- Manage appointments, billing and funding (e.g. NDIS, Medicare)
If we don’t have the right information, it may affect the quality of assessment and therapy we can provide.
What information we collect
This may include:
- Contact details (name, address, date of birth)
- Health and developmental information
- Family and background information
- Funding or billing details
- Relevant legal or custody information (if applicable)
How we use and share information
We use your information to support your child’s care.
With your consent, we may share information with:
- Your child’s doctor, school or other therapists
- Funding bodies (e.g. NDIS, Medicare)
We may also share information:
- If required by law (e.g. court order or subpoena)
- Where needed to support safety and wellbeing
We do not sell or share your information with commercial companies.
We do not enter client information into artificial intelligence tools.
Parents and access to information
For children, we usually communicate with parents or guardians until children turn 18. In some cases children can access services independently earlier, and in some cases carers remain in shared decision making for longer.
We will generally communicate with the parent or guardian who makes the bookings and attends appointments, and we expect families to collaborate together to share information. We can set up specific arrangements to share information in line with your preferences if you ask.
Access to information may depend on:
- Court orders or custody arrangements
- The child’s safety and best interests
- The child’s age and understanding
We may ask for documentation (e.g. parenting orders, or NDIS Nominee information) to guide how we share information.
When children turn 18, we will communicate with them first, if they have the capacity to be the primary decision maker.
How we store your information
Your information is stored securely using approved systems & each system is checked for compliance with the Australian Privacy Principles.
- Our primary clinical system (Cliniko) stores clinical and personal data securely in Australia.
- Our main administrative system (Google suite) stores personal data securely in the United States.
- Our online store (Podia) stores personal & financial data securely in the United States.
- Our online payments system (Stripe) stores personal & financial data securely in the United States.
- Our email marketing (Mailchimp) stores personal contact details securely in the United States & you are able to unsubscribe at any time.
Only authorised team members can access your information on site, and we take reasonable steps to protect it from misuse or unauthorised access.
Your rights
You can:
- Request access to your or your child’s information
- Ask for corrections if something is incorrect
- Make a complaint if you have concerns about privacy
